Job Opportunity: Project Manager with Monterey Bay Aquarium

Job summary:

The Project Manager is responsible for managing in-house and outsourced projects for the Monterey Bay Aquarium. The primary purpose of this role is to lead, oversee and ensure the successful delivery and management of single or multiple IT projects within scope, quality, time and cost constraints that may be clearly defined or may require dynamic change management.

The PM Assists with the overall direction, coordination, implementation, execution, risk management, financial planning/modeling/tracking, recommend project and portfolio priorities, requests for budget, control and completion of all projects within the portfolio consistent with the Monterey Bay Aquarium's strategic plan. Responsibilities include working with business units and IT to support technical projects including web content management, e-commerce, customer service portal, customer-relationship management (CRM), hybrid and cloud-based application integrations, and working with in-house IT software development team. Other responsibilities may include enhancements to existing business applications, process improvement, new application development, and infrastructure related projects that may span from desktop, server, and network.

Core Responsibilities

  • Use strong communication and decision-making skills in interacting with a broad range of technical and non-technical audiences
  • Manage projects from inception thru completion using proven project management methodologies
  • Identify and schedule project deliverables, milestones, and required activities and tasks
  • Build close collaboration with stakeholders/customers to fuel a continuous feedback cycle to inform incremental improvements
  • Provide leadership and motivation to project team members throughout the project life cycle and confer with project staff to outline work plan
  • Act as a coach to those who need assistance and advice regarding project management practices
  • Establish a work plan and staffing for project activities, iterations or phases, and arrange for recruitment or assignment of project personnel
  • Review project proposals or plans to determine time frame, funding limitations, procedures for accomplishing projects, staffing requirements and allotment of available departmental resources to various project phases
  • Review/approve work plan of external service provider or consultancy contracted to execute project
  • Implement project communication plan
  • Conduct risk assessment and mitigation
  • Ensure that project goals are accomplished and in line with business objectives
  • Direct and coordinate activities of project personnel to ensure project progresses on schedule and within budget
  • Drive resource planning, budgeting, change management, and process improvement

Absolutely Required Skills / Knowledge / Ability / Experience or Education

  • 5+ years of experience in IT project management
  • Experience with implementing cloud and SaaS solutions
  • Comprehensive understanding of the software development lifecycle and web development
  • Familiar with project management methodologies (for example, PMI, Agile, ITIL and traditional)
  • Demonstrated sensitivity to working in a political environment and to interacting with senior leadership
  • Knowledge of project-planning tools
  • Exceptional verbal and written communication skills
  • Effective influencing and negotiating skills in an environment where this role may not directly control resources
  • Strong knowledge and understanding of business needs, with the ability to establish and maintain a high level of customer trust and confidence
  • Demonstrated ability to develop and execute a project resource plan that ensures that the right people are in the right place doing the right things at the right time
  • Excellent problem solving skills
  • Extremely organized
  • Ability to identify and manage project risks and solid change control experience
  • Proven ability to prioritize, follow through, multi-task, and pay attention to details
  • Excellent customer service orientation in dealing with external audiences and internal clients
  • Vendor and consulting services contract negotiation and management
