Job Description

Biscayne Bay Commission – Preparation and Planning:
Preparation and planning for two BBC meetings to be held quarterly between 11/1/22 and 6/30/23 (anticipated for January and April) will require the Coordinator to:

  • Identify and secure location(s) in Miami-Dade County, preferably on or adjacent to Biscayne Bay. Meetings will be hybrid (simultaneous virtual and in-person), including all necessary technical components (e.g., audio, visual, webinar, rental fees). NOTE: Costs for meeting venues, A/V, supplies, etc. are to be paid by DEP.
  • Coordinate with DEP’s Office of Resilience and Coastal Protection (ORCP) to schedule meetings; draft Florida Administrative Register (FAR) notifications; prepare meeting agendas with input from Commission Chair and Vice-Chair along with DEP staff; prepare and print hardcopy materials for the meeting; secure presentation speakers with input from Commissioners and DEP staff; coordinate internal (DEP) and external presenters; coordinate with DEP law enforcement providing security for the meetings; conduct staff briefing meetings; and coordinate any media relations items with DEP Press Office staff.

Biscayne Bay Commission – Meeting Support and Facilitation:
Provide on-site logistical support with DEP’s ORCP including organizing parking validation with the venue; operate audio/visual equipment; coordinate for smooth topic and presentation transitions; prep speakers and Commissioners for the meeting format; and provide facilitation functions at the two BBC meetings.

Biscayne Bay Commission – Summary Reports and Documentation:
Conduct all meeting follow-up tasks for three BBC Meetings, including the October 2022 meeting and the two additional meetings to be held quarterly between 11/1/22 and 6/30/23, including the coordination of all materials with several offices within DEP and following up with Commissioners and their staff to ensure homework/action items are being addressed. Specifically, the Coordinator is expected to draft, coordinate, review, and obtain approval of all materials including member submissions of semiannual reports with several offices within DEP, including the Biscayne Bay Aquatic Preserve, ORCP, and Office of Communications. Note that obtaining responses from Commission members may take follow-up emails and/or phone calls, reminder emails, to the Commissioner, their staff, and/or their contractors. The Coordinator also must ensure that the BBC’s semi-annual report for January 2023 is completed and posted to the BBC webpage.

Biscayne Bay Aquatic Preserve (BBAP) – Support:
Support to the BBAP includes (1) communication, facilitation, and outreach activities; (2) data input and presentation; and (3) scientific assistance as follows:

  1. Communications, Facilitation, and Outreach: Assist BBAP staff in communications and outreach related tasks, including coordinating volunteers and future outreach programs. The position will provide communications assistance to the aquatic preserve manager for larger written documents, presentations, or discussions. This task will require fully understanding DEP’s press and communications policy and advising BBAP staff on ensuring that all materials are 508 compliant and meet DEP’s standards. Assist with BBAP Management plan public meeting.
  2. Data input and presentation: Assist BBAP staff in entering data collected into its respective storage files. Work with previously produced charts and graphs to make them more accessible and understandable to the public for presentations, outreach material, and events.
  3. Scientific Assistance: Assist BBAP staff in field and the lab with research and various tasks. This will include the broad range of research that BBAP conducts and is flexible based on the applicant’s expertise and time allowed.

Minimum Qualifications:

Bachelor’s degree in an appropriate area and five years of relevant experience; or an equivalent combination of education and experience.

Referred Qualifications:

  • Master's degree in an appropriate area of specialization and two years of experience.
  • Knowledge of submerged aquatic vegetation, particularly seagrasses.
  • Skill in meeting facilitation including group facilitation, meeting management, and stakeholder engagement.
  • Skill in report writing.
  • Skill in verbal and written communication.
  • Ability to communicate effectively one-on-one as well as in small and large group settings.
  • Positive attitude with the ability to communicate effectively with staff and coworkers, and to deal with the public in a tactful and courteous manner.
  • Skill and proficiency with audio/visual equipment.
  • Ability to quickly learn web-based programs.
  • Ability to utilize problem-solving techniques.
  • Ability to work independently and as part of a team.
  • Knowledge and understanding or willingness to learn about the issues facing Biscayne Bay.
  • Willingness to participate in field activities to assist BBAP staff with tasks when not working on main BBC tasks.
  • Understanding or willingness to learn DEP’s communications and press policies to assist in public communication processes.

Salary: $41,000 annually
