Ocean Career: American Rivers Associate Director, Development Operations

JOB SUMMARY

A key member of the Advancement team, the Associate Director, Development Operations contributes to the overall success of the department’s fundraising goals through superior gift, data, and knowledge management. The Associate Director is responsible for high-level duties supporting operations including gift processing and administration, financial coding and reconciliation, report creation, and data request fulfillment. The position provides operational support for all fundraising programs, including membership, institutional, and individual teams, through effective management of constituent records, data structure and validation, training coordination, and policy and procedure documentation. Reporting to the Senior Director, Planned Giving and Development Operations, the Associate Director serves as the first point of contact for and represents Development Operations to external and internal audiences including Advancement, Finance, and Conservation staff. Travel up to 10% for staff retreats, trainings, conferences, and professional development opportunities, as needed, is required.

DUTIES AND RESPONSIBILITIES

Gift Administration:

  • Ensure accurate, timely and complete entry of all gifts, pledges, and related transactions into the donor database. Independently identify, research and resolve all exceptions, adjustments, and transactions in holding.
  • Mange relationship with response management vendor to ensure adherence to work instructions for caging/lockbox services, image capture, exception processing, acknowledgements, reporting, and secure data delivery. Identify, communicate, and resolve issues promptly.
  • Liaise with Finance department to ensure accurate and timely reconciliation of deposits. Transmit deposit and pledge information for all charitable contributions.
  • Issue accurate and timely receipts per IRS guidelines and internal standards
  • Manage and optimize matching gift opportunities.
  • Manage workplace giving and federated campaign applications and process gift and donor reports.

Data & Knowledge Management

  • Manage updates to the database through manual and automated uploads, direct entry, and multi-system syncs. Establish standard routines for checking accuracy and completeness of data.
  • Maintain data tables and source code logic to support accurate reporting for complex campaign structure.
  • Create and execute queries and reports to meet the evolving needs of the fundraising teams. Fulfill routine data requests and data processing/lettershop instructions.
  • In collaboration with the Senior Director, Membership and Senior Director, Planned Givinng & Development Operations, manage data to support successful multi-channel fundraising campaigns.
  • Establish and maintain data entry procedures and coding standards. Document standard operations procedures and maintain digital library of current policies, forms, and training materials.
  • Orient new hires on Development Operations procedures, train on use of development database, and conduct regular trainings for all department staff.
  • Manage database security groups and user access permissions by staff function.
  • Participate in regular meetings with vendors and contractors.
  • Request and approve expenditures and invoices within internal monetary thresholds.
  • Perform related duties as required.
  • May supervise interns or volunteers.

MINIMUM QUALIFICATIONS

  • 5+ years relevant experience or a combination of relevant degree(s) and not less than 3 years relevant experience.
  • Knowledge of best practices related to receiving and processing charitable donations and donor record management.
  • Strong proficiency with CRM databases (ROI Solutions, Raisers Edge, or similar)
  • Ability to work independently and manage multiple projects effectively, efficiently and accurately; and prioritize competing tasks and deadlines with minimal supervision.
  • Ability to listen carefully and understand customers’ needs, both internally and externally, and proactively respond to those needs in a consistent, timely, and effective manner.

PREFERRED QUALIFICATIONS

  • Strong background in data management, business process design, business and data analysis, and report development.
  • Excellent analytical skills and the ability to locate, synthesize and interpret data from a variety of sources.
  • Intermediate knowledge of and ability to write queries in SQL.
  • Knowledge of IRS regulations related to charitable donations and receipting requirements.

SALARY AND BENEFITS

The salary range for this position is $73,400 to $85,000. Full-time and full-time equivalent employee benefits include health, dental and life insurance, short and long-term disability plans, a retirement plan, and generous leave time.
